		Online Survey with Graphical Reporting Capabilities

We were engaged to customized, create and contain confidentiality of the Information Technology Support for Schools (ITSS) online satisfaction survey.

This survey, hosted on our main servers, provided a highly secure encrypted web application that is capable of allowing hundreds of users to be able to access at a 24-7 activity.

Careful evaluation of the possible scenarios that participants may perform when taking part in the survey were implemented with the survey application system. This allowed more accuracy with the result that is gathered by each participant.

Before the start of the survey, invitation emails was sent to each participant, generated by our system. Our system catered for bounced emails that were either having technical problems that were actually from the participant side, or having misspelled email addresses provided from the client. Verification of such cases was performed in detail carefully, making sure that invitations were not sent to a participant who had already received it.

Reminder emails were generated each week for those selected participants who have not completed or started the survey.

Participants gained access to the survey from the invitation and reminder emails that had a hyperlink embedded. Due to the need to maintain confidentiality and provide high security, our system catered for a more efficient way of having logins without the participant having to remember usernames and passwords that should be provided. Instead, our system embedded the username and password together the hyperlink and upon successful access to the first entry of the survey, the system prompted the participant to have a personal question and answer entry. Embedding the username and password together with the hyperlink ensured that only invited participants had access to the survey. Without the embedded hyperlink, non-invited participants or anonymous users will not have access to the first entry of the survey. The second entry of the survey, that is the personal question and answer entry, allowed convenience of subsequent logins if the participant wish to complete the survey on a later date or time. An option to change their personal question and answer were provided as well for the participant’s need.

An enquiries section, allowing participants with any request or enquiries such as resetting the personal question and answer entry in case they had it forgotten, was provided for all necessary needs. Our technical support helpdesk operated during office hour basis with a swift response to any emails from any participants.

Results gathered from the survey were computerized into customized graphs and statistical tables based on the clients request. These graphs and statistical tables were organized and displayed online on a page by page basis.

This option is an online real-time graphical report capability for the client to manage the backup participants to be invited if the results gathered are not enough, and to manage the use of the backup extension period of the actual survey period.

The client, who was provided the username and password, has access to this report only. Similarly, the client had to enter a personal question and answer after the first entry to the survey.

Upon successful closure of the survey, the results gathered were analyzed once again and compiled into a more detailed presentation slide.

This presentation slide included a detailed introduction of the survey and the application system, a detailed explanation of the methodology used to computerize the graphs and statistics, a detailed introduction to the findings of the results gathered from the survey, the explanation of each graph and the comments gathered from the participants that were segregated into either positive or negative comments.
