We were engaged to customized, create and contain confidentiality of the Information Technology Support for Schools (ITSS) online satisfaction survey.
This survey, hosted on our main servers, provided a highly secure encrypted web application that is capable of allowing hundreds of users to be able to access at a 24-7 activity.
Careful evaluation of the possible scenarios that participants may perform when taking part in the survey were implemented with the survey application system. This allowed more accuracy with the result that is gathered by each participant.
Before the start of the survey, invitation emails was sent to each participant, generated by our system. Our system catered for bounced emails that were either having technical problems that were actually from the participant side, or having misspelled email addresses provided from the client. Verification of such cases was performed in detail carefully, making sure that invitations were not sent to a participant who had already received it.
Reminder emails were generated each week for those selected participants who have not completed or started the survey.
Participants gained access to the survey from the invitation and reminder emails that had a hyperlink embedded. Due to the need to maintain confidentiality and provide high security, our system catered for a more efficient way of having logins without the participant having to remember usernames and passwords that should be provided. Instead, our system embedded the username and password together the hyperlink and upon successful access to the first entry of the survey, the system prompted the participant to have a personal question and answer entry. Embedding the username and password together with the hyperlink ensured that only invited participants had access to the survey. Without the embedded hyperlink, non-invited participants or anonymous users will not have access to the first entry of the survey. The second entry of the survey, that is the personal question and answer entry, allowed convenience of subsequent logins if the participant wish to complete the survey on a later date or time. An option to change their personal question and answer were provided as well for the participant’s need.
